How to Manage Bookkeeping for Multiple Businesses

Owning more than one business can mean more opportunities, more income streams, and more room to grow. It can also mean… more bookkeeping. 😅

When you have multiple businesses, it’s important to keep the financial records for each business organized and separate. Otherwise, transactions, expenses, and bank accounts can quickly become difficult to keep straight.

We’ve helped business owners untangle their bookkeeping when things start getting mixed together, and trust us: it’s much easier to keep things organized from the beginning than to sort it all out later.

If you own more than one business, here are a few ways to keep your bookkeeping clean and organized.

1. Keep Each Business Separate

Each business should have its own bookkeeping records.

Avoid combining income and expenses from multiple businesses into one set of books. Keeping separate accounting records makes it much easier to understand how each business is performing and ensures your financial reports are telling the right story.

Even if you own all of the businesses, they should still be treated as separate businesses for bookkeeping purposes.

2. Use Separate Bank Accounts and Credit Cards

Each business should have its own dedicated business bank account and credit card whenever possible.

This makes it much easier to see which transactions belong to which business and reduces the amount of detective work required when it’s time to reconcile your accounts.

Bonus: You also won’t have to stare at a transaction six months later wondering, “Which business was this for again?” 

3. Avoid Paying One Business’s Expenses From Another Business’s Account

If Business A has a software subscription, try not to pay for it from Business B’s bank account.

When one business pays another business’s expenses, it creates additional bookkeeping work and can make your financial reports more difficult to understand.

If there’s a legitimate reason for one business to pay an expense on behalf of another, make sure the transaction is properly recorded and documented.

4. Track Shared Expenses Carefully

Some expenses really do benefit more than one business.

Maybe you share office space. Maybe you use the same software for both businesses. Maybe you have a business expense that supports both companies.

That’s okay! Just make sure you have a consistent way to track and divide those expenses between the businesses.

The goal is to make sure each business’s financial reports accurately reflect the expenses associated with that business.

5. Reconcile Each Business Separately

Regular bank and credit card reconciliations are important for every business, but they become especially important when you’re managing multiple businesses.

Reconcile each business’s accounts separately and compare your bookkeeping records to the actual bank and credit card statements.

This can help catch missing transactions, duplicate transactions, incorrect amounts, and expenses that may have accidentally been recorded under the wrong business.

6. Review Financial Reports for Each Business

Don’t just look at the combined numbers.

Review the income, expenses, and profit for each business individually.

One business may be growing quickly while another is struggling with higher expenses. If everything is combined, those differences can easily get lost.

Separate financial reports give you a much clearer picture of how each business is actually performing and can help you make better decisions about where to spend, save, or invest.

 

Managing multiple businesses doesn’t have to mean managing messy books.

The key is keeping the financial records for each business separate, consistent, and up-to-date. When you do that, you’ll have a much clearer picture of how each business is performing, and you’ll make tax time and financial decision-making much easier, too.
